The complete guide to mastering Procidio SOP Manager.

Installation

Procidio is a standalone desktop application designed for Windows environments.

System Requirements
  • Windows 10 or Windows 11 (64-bit)
  • 4GB RAM (8GB recommended for large projects)
  • .NET Desktop Runtime 8.0 (Installer will check for this)
  1. Download the latest installer (Procidio_Setup.exe) from the Pricing page.
  2. Run the installer and follow the on-screen wizard.
  3. Once installed, launch Procidio from your Desktop shortcut.

Interface Overview

The Procidio interface is divided into three main areas:

  1. Project Explorer (Left): The hierarchical tree view of your Documents and Pages.
  2. Main Editor (Center): The rich text workspace where you write content.
  3. Attributes Panel (Right): Metadata controls for Status (Draft/Approved), Dates, and Reference IDs.

Your First Project

Procidio saves all data into a single, portable .json file. This file contains your entire project structure, text, and embedded images.

Creating a New Project
  1. Click File > New Project.
  2. The tree will clear, giving you a fresh start.
  3. Click File > Save Project As... to choose where to store your file (e.g., Z:\Company_SOPs\Safety_Manual.json).
Opening a Project

Click File > Open Project to load an existing file. Procidio remembers your last opened project automatically.

Tree Structure & Navigation

Procidio allows unlimited nesting of pages (Documents -> Chapters -> Sections).

Adding & Managing Pages
  • Add Page: Right-click on any item in the tree (or the empty space) and select Add Page.
  • Rename: Right-click a page > Rename (or select and press F2).
  • Delete: Right-click > Delete. Warning: This deletes all child pages too!
Drag & Drop Organization

You can reorganize your hierarchy visually:

  • Reorder: Drag a page between two other pages to change the order. A horizontal line will appear.
  • Nest (Make Child): Drag a page ON TOP of another page to move it inside. The target page will highlight.

Rich Text Editor

The central editor supports standard formatting tools found in Word processors.

Bold, Italic, Underline

Bulleted & Numbered Lists

Working with Images

Procidio has full support for embedded images.

Images are stored inside the JSON file. This means you don't need to manage separate image files folder.
How to Insert Images
  1. Copy an image to your clipboard (e.g., Snipping Tool, or Right-click "Copy Image" in a browser).
  2. Click inside the Editor where you want the image.
  3. Press Ctrl + V (Paste).

Network Map (God View)

The Network Map provides a visual graph of your entire project hierarchy.

  • Access: Click the purple "Network Map" button in the top toolbar.
  • Navigation: Drag to pan, scroll to zoom.
  • Color Coding: Nodes are colored based on status (Gray = Draft, Green = Approved).
  • Jump to Page: Click any node to instantly close the map and open that page for editing.

Multi-User Collaboration

Procidio uses a File Locking mechanism to prevent overwrite conflicts on shared drives.

How it Works
  1. User A opens Project.json. Procidio creates a hidden file: Project.json.lock.
  2. User B tries to open Project.json. Procidio sees the lock file.
  3. Procidio notifies User B: "Project is locked by User A".
  4. User B opens the project in Read-Only Mode (Viewing allowed, Saving disabled).
  5. Once User A closes the app, the lock is deleted, and User B can acquire edit rights (by reloading).

PDF Export

Generate audit-ready documentation with a single click.

  • Click the PDF Icon in the toolbar (or File > Export PDF).
  • Procidio compiles all pages, images, and hierarchy into a single professional PDF document.
  • The PDF includes a generated Table of Contents and proper page numbering.
